Use of Campus Grounds Request

Terms and conditions

Anyone wanting to use Dunedin campus grounds for a commercial activity or non-commercial event, which is not part of the University’s or OUSA’s own operations, must lodge a request via this online form.

More detail on the types of requests that may be permitted can be found on the University’s policy library website, under the ‘Private use of Dunedin campus grounds guidelines’.

Key points to note:
  • Try to book as early as possible. At least two weeks in advance is recommended to allow sufficient time to circulate and approve the request in advance of your event.
  • Requests from student-related groups to sell food for fundraising purposes will be referred to OUSA for consideration. In general, only ‘one-off’ fundraisers (eg, in response to a natural disaster) will be approved.
  • - Details section of form. Please provide information on:
    • estimated number of people likely to attend event
    • what equipment you will be using (electrical, cooking, tables, displays, tents, etc…)
    • whether you will need to bring any vehicles onto campus
    • whether you intend to give away food
    • whether you intend to sell food
    • whether you intend to give away or sell non-food items
    • Health & safety of people on campus is a priority for the University, so you may be asked to provide additional information on health and safety risks and plans for your event.
Terms and Conditions
  • Leave grounds as you found them, take all rubbish and materials with you. Make sure any pegs are retrieved, as these can become projectiles during mowing.
  • No alcohol
  • No paint
  • No attachments to buildings or art works
  • No activities within established garden beds
  • Building exits and emergency vehicle thoroughfares must be kept clear
  • No loud noise between the hours of 8am to 5pm
  • Any equipment or plant brought onto Campus must have the necessary electrical and mechanical certification. Refer to https://www.dunedin.govt.nz/services/mobile-trading
  • Vehicle access routes and parking must be agreed as part of the request – some paved areas are not suitable for anything other than foot traffic
  • The University of Otago does not accept any financial risk or take any responsibility for loss or damage to any equipment or property brought onto Campus grounds
  • The University of Otago reserves the right to claim costs from event organisers should the event result in damage to University grounds
  • Property Services and Campus Watch control the campus grounds. Representatives of either unit can curtail any event if necessary.
