Administrative and Operations Director/Manager

Plan, organise, direct, control and co-ordinate the overall administration and general management of the University. Sets strategy, direction and objectives within the organisation; formulates, administers and reviews policy and legislation to ensure organisational and departmental objectives are met; directs and co-ordinates the allocation of assets and resources; and manages work activities, either personally or through senior subordinate staff. Includes Chief Operating Officer and Registrar.

Divisional Administrator

Responsible for the effective operation of financial, physical, information and staff resources for a Division and all administrative activities. Provides high level leadership and advice. Develops procedures, operational plans and contributes to strategic planning.

Operations Manager

Manages the day-to-day operations and major functions of the organisation, or of a significant section of the organisation. Responsibilities include product or service delivery, scheduling, quality, pricing, financial planning, administration functions, facility management, information services and staff.

Generalist Administrator

Responsible for a variety of administrative processes that maintain or develop the essential operations of the University. This may include financial, human resources, facilities management, purchasing, writing reports and letters, maintaining records and information systems, updating website content, co-ordinating meetings and committees, taking minutes, customer services, and compliance with policy, procedures and legislation. May be responsible for a variety of specialist administrative tasks as described in the Specialist Administrator occupation.

Specialist Administrator

Predominantly performs specialist administrative tasks and provides information and advice to staff, management or clients on policies, procedures, regulations or legislation related to the specialist area. May be responsible for improving processes; undertaking investigations; benchmarking; data analysis; preparing reports; drafting policy; monitoring compliance; or preparing contracts on behalf of the University. May be responsible for procedures relating to official records covered by the Privacy Act or the Health Information Act.

Departmental Administrator

Responsible for the effective operation of administrative activities for an academic department. This includes: finance administration, general administration, compliance administration, facility management, human resources administration, marketing administration, research administration and teaching support administration.

Executive Assistant

Co-ordinate senior managers' activities, compose correspondence for approval, advise on matters requiring their attention and implement their decisions. May represent or act on behalf of manager in certain matters. Independently prepare and produce correspondence, research papers, briefings and reports; develop and maintain high-level administrative support to senior managers; project supervision and oversight; and provide advice and guidance on policies, procedures and relevant legislation.

Personal Assistant

Perform administrative tasks in support of a manager such as liaising with other staff; drafting and preparing documents; maintaining appointment diaries; making travel arrangements; processing mail, taking minutes, filing correspondence and maintaining formal records. May also perform other administration tasks such as those listed in the administration assistant or generalist administrator occupations.

Administration Assistant

Perform administrative, secretarial, clerical and other administrative tasks. Duties may include processing mail, filing, data entry, proof-reading, maintaining records, photocopying, word processing, stocktaking, answering telephone calls and responding to inquiries. Includes Examination Supervisors.

Receptionist/Telephonist

Greets clients and visitors, and responds to personal, telephone, email and written enquiries and requests. May also perform other administration tasks such as those listed in the administration assistant occupation.

Project Manager

Develops and leads programs and projects, ensuring they meet the organisation's needs, timescales, budgets and quality targets agreed. May be responsible for negotiation of contracts with clients or suppliers. Responsible for ensuring any contractual obligations are met. Prepare analysis and reports for senior management and clients. Excludes building construction projects and systems development projects.
